Most buyers who read this page have already seen our prices or a case. What they still want to know before the first payment is the order of events. So this page follows one real order from our files, day by day, and then states the payment and refund rules that apply to every order.
Order 2026XL0210DE in our files. Client name withheld; dates and amounts are the real ones. It is a single-factory order, the simplest shape we run. Multi-factory containers take longer, and that case is further down.
The buyer sent the excavator model and the engine part number on WhatsApp. We priced the engine through the maker's own domestic channel and issued the PI on our company name, with our licensed bank account on it. Nothing is signed with a factory yet.
You can stop here at no cost. Most buyers compare our PI with a local dealer's quote at this point.
The buyer confirmed the PI. We signed the purchase contract with the engine supplier in Guangzhou on our own paper, so it is us who chase the supplier if anything is short, and you settle only with us, under the PI's terms. The supplier is not paid yet.
Still nothing paid. The contract is in our name, not yours.
The 30% deposit, $2,941, arrived in our company account. Only now do we pay the supplier and the engine is reserved for this order. Between the deposit and the balance, the buyer gets photos and the serial plate of the actual unit, not a catalogue picture.
Until we pay the supplier, this deposit is refundable in full. Once the supplier is paid, the PI's terms apply.
$7,098 arrived after the buyer had seen the unit. The engine is crated and released to the haulier. The export paperwork is ours to handle; the buyer never deals with a Chinese customs broker.
The PI total, with road freight to Kazakhstan included.
A China–Kazakhstan road haulier collected the crate. The buyer followed it on the same WhatsApp thread the order started on. The same group of companies has ordered from us several times since.
Nothing further is asked for after the balance. Road freight to Kazakhstan was in the PI total.
from proforma invoice to balance paid, for a single in-stock part. Your money moved twice, and both times after you had something in hand: a PI in our name, then photos of the actual unit.
Every payment goes to Shandong Xilink International Trade Co., Ltd., the company on the business licence and on the PI. We send the licence and the bank letter before you sign anything. You never pay a factory's private account, and we never ask you to.
Goods are paid 30% to reserve, 70% before release. Our own services, a factory audit, a pre-shipment inspection or an escorted visit, are paid the other way round: 70% to schedule the trip, 30% once we are on site and you have the first video.
Letters of credit are accepted on container orders; we have run a West African container on 50% advance with the balance by L/C.
30% when you confirm the PI. 70% after you have seen the goods, before they leave the factory or our consolidation warehouse.
Same split for one engine or a whole container.
70% books the date and the travel. 30% is due the day we are on site, after you have the first photos and video from the floor.

The full rate card, with what each day on site includes, is on the pricing page.
These are the rules we apply, not a special offer. They are the same for a $3,000 part going to Kazakhstan and a $35,000 container going to Senegal, and for buyers in the Gulf, Latin America, Europe or Southeast Asia.
You changed your mind, and nothing has been spent on your behalf yet.
Money has already left for something that cannot be undone.
We do not hold deposits in escrow, and we say so. Your deposit sits in our company account until the supplier is paid. What protects it is the order of events above: nothing is paid out until you have confirmed the PI, and nothing is released until you have seen the goods.
Loading day on a farm container: the tractor goes in last, after every crate behind it has been counted. From one of our orders.
A container built from many factories runs on the same two payments. What changes is the middle: every item is checked against the list at a consolidation warehouse before the balance, then loaded once. Dates below are from our order file.
categories on one invoice, from barn steel to a backup generator, for a cattle feedlot in Senegal. Each line bought from the factory that makes it.
days from proforma invoice to export clearance at Tianjin port: PI on 16 August, customs release on 26 September. CIF Dakar, insured at 110% of the goods value.
container for the same buyer. The first one, the crop side of the farm, had arrived complete, so the second was ordered.
Anything not covered here goes in the message at the bottom. Questions are free.
The count before the balance: our staff at a supplier's warehouse, checking cartons against the packing list. From one of our orders.
No. You pay our company account, we pay the factory. That is what lets us sign the factory contract in our own name: if the factory falls short, we are the party that pursues it, and you deal only with us under the PI.
You get the photos, video and the finding the same day, and two options on the table: change the plant, or change the terms. The balance is not requested until you have chosen. If the order is still at the deposit stage and the supplier has not been paid, the deposit comes back in full.
You sign our PI. We sign the purchase contract with each factory in our company's name. Export declaration, insurance and the bill of lading are issued with us as the exporter, which is also why the VAT rebate comes to us and not to a middleman in between.
An in-stock part like the engine above: about four weeks from PI to the goods leaving China. A container built from many factories: about six weeks to export clearance, plus sailing time. Made-to-order machines follow the factory's lead time, which we put on the PI before you pay anything.
Yes. Escorted factory and warehouse visits are one of our paid services, and buyers who combine them with the Canton Fair usually see three or four factories in the same trip. Details on the Canton Fair and factory visits page.
A part number, a machine model, a list for a container, or a quotation you want checked. One message is enough to start the order above at Day 0.
